Who actually orders

Different teams, one shared identity.

A church or a non-profit is really a dozen small groups. Each has its own people and its own patch, and knowing which one you are changes what to order.

Safety

Security and safety teams

One of the most common buyers we see. Trained volunteer teams need a clear, consistent mark on shirts and vests, often on velcro so the same patch moves between garments and comes off for laundering.

Ministry

Ministries and small groups

Youth and kids ministry, worship and choir teams, greeters and ushers, and small groups. Usually one shared design per team at the minimum, reordered as people rotate through.

Outreach

Mission trips and events

Mission trips, vacation Bible school, volunteer days, and community events. These are tied to a fixed date, so the timing of the order matters as much as the design.

Non-profits

Charities and volunteer orgs

Registered non-profits, community groups, and biker ministries putting an identity on volunteers and members. Verified groups claim the standing non-profit discount.

The non-profit discount

A standing 10% off for verified groups.

We keep a standing 10% discount for verified faith organizations and registered non-profits. Verified means a group with a 501(c)(3) or an EIN, so it is a real check rather than a slogan. Budgets in this world are tight and every dollar is accountable to someone, so the discount is meant to make a patch order easier to sign off, not harder.

It is not an automatic code you type in at checkout, because a blanket online code could not tell a real non-profit from anyone else. The claim flow is simple. Build your instant quote first so you can see honest numbers, then send us your 501(c)(3) or EIN and we apply the 10% to your order by hand before you pay. It applies to the order, and to keep it fair for everyone it does not stack with other offers.

Everything else on the order is the same either way: free digitizing, no setup fees, free US shipping, a free mockup in 24 hours, and unlimited mockup revisions before you approve anything.

Choosing a type

Which one suits a community patch.

Embroidered for shirts and jackets

Raised thread with real presence on a polo, vest, or jacket, and forgiving on the bold shapes and lettering most ministry and team marks use. The default choice.

Woven for fine detail

A crest with small type, a motto, a founding year, or a full organization name around a ring holds better in woven, where embroidery would start to fill the letters in.

Not sure which your artwork suits? The embroidered vs woven guide compares them, and how to design a custom patch covers what survives at small sizes.

Size and quantity

Planning an order on a ministry budget.

Sizes run 2 × 2, 3 × 3, 4 × 4, 5 × 5, and 7 × 7 inches, and pricing follows the finished size selected at quoting. For a non-standard shape, send the finished width and height and we confirm the right size before production. Anything larger is quoted by hand.

Typical patch size by application
ApplicationTypical sizeNotes
Shirt or polo chest3 to 4 inWhere a team or ministry mark sits. Embroidered carries well on knit and twill.
Safety-team vest3 to 4 inVelcro so the same patch moves between garments and comes off to launder.
Sleeve or cap2 to 3 inSmaller ID marks. Keep under 3 inches so it sits flat and does not wrap a seam.
Event or trip patch3 inThe all-purpose keepsake size, works on bags and hoodies as well as shirts.
Award or milestone2 inSmall volunteer-service marks. Batch several types into one purchase to keep admin down.

The 25-piece minimum applies per design, not per order. Several ministries or teams can buy together in one purchase, and each design keeps its own locked record.

Colors and reorders

An identity that survives volunteer turnover.

Faith groups and volunteer organizations turn over people faster than almost any buyer we deal with. The volunteer who made the artwork moved away, the team that ran last year has half-new faces, and the original file is on a laptop nobody has. That is the normal situation, not an unusual one.

It is why the design record matters so much here. When your first patch is approved we write the Pantone codes, the exact dimensions, and the stitch file into a permanent record. A reorder next season runs from that record, carries no setup charge, and needs no artwork from your side, so this year's group wears the same patch the last one did. You send us your own artwork and colors and we match them; the thread color chart shows the palette we stock.

How ordering works

Built for volunteers doing this after hours.

  1. 01

    Price it

Set size and quantity in the calculator for an instant number you can take to the leader, the treasurer, or the board.

  2. 02

    Digital Mockup

A free digital mockup within 24 hours. Share it with the team, come back with changes, revise as often as you need at no cost.

  3. 03

    Production Proof

One finished patch, made and photographed for you approximately a week later. Approving it locks the design for future reorders.

  4. 04

    Bulk Production

Nothing else is produced until someone approves the Production Proof. The rest of the order then runs in about two weeks.

  5. 05

    Delivery

About two weeks for embroidered and woven, three for PVC of Bulk Production, plus 7 to 14 days of shipping, free within the US with tracking. Have a deadline? Let us know and we'll confirm what's possible.

Planning

One purchase, several teams

Each design needs its own 25 pieces, but multiple ministry or team designs can go in one purchase, so there is one invoice and one delivery.

Questions

What faith groups ask first.

How does the non-profit discount work?+

It is a standing 10% discount for verified faith organizations and registered non-profits, meaning a group with a 501(c)(3) or an EIN. It is not an automatic code you type in at checkout. The simplest path is to build your instant quote first so you can see real numbers, then send us your 501(c)(3) or EIN and we apply the 10% to your order by hand. It applies to the order and does not stack with other offers.

We only need patches for one small team. Is that enough to order?+

Usually yes. Our smallest run is 25 pieces per design, the Small Run tier, which was built for exactly this. A single security team, a worship team, a group of greeters, or one small group can order at that size. The 25-piece minimum is per design, so if two teams want different patches, that is two designs, and each needs its own 25.

What do church security and safety teams usually order?+

Safety teams are one of the most common buyers here, and they want the opposite of flashy: a clear, consistent mark that identifies the team without drawing attention. Most sit at 2 to 3 inches on a shirt, polo, or vest. Velcro backing is popular because the same patch moves between a shirt and an outer layer, and it comes off for laundering. Sew-on is the choice when the patch lives on one dedicated garment.

We need these before a mission trip or VBS date. How long does it take?+

You get a free Digital Mockup within 24 hours, then your Production Proof, one actual finished patch photographed for you, approximately a week after you approve it. From your approval of that, plan on about two weeks of Bulk Production for embroidered and woven patches, and about three weeks for PVC, plus 7 to 14 days of shipping on top. If you need them by a specific date, let us know when you request a quote and we'll confirm whether it is comfortable. For a firm outside date, the 4-hour reply means you are not left guessing.

Volunteers rotate every year. Can we reorder the exact same patch?+

You can reorder the same approved design, and this is where your saved design record earns its keep. Faith groups and volunteer organizations turn over people faster than almost any buyer, so the artwork going missing is normal. When your Production Proof is approved we write the Pantone codes, exact dimensions, and stitch file into a permanent record. A reorder next season starts from that record, carries no setup charge, and needs no file from your side, so this year's volunteers get the same approved design the last group wore.
